When spreadsheets are not enough, build the register yourself
Choose fields, connect records, and control who can edit what. It feels like a list, but works like a small database in AmpliFlow, for records too specific to deserve their own system: retained samples, keys, signs, or local exceptions.
Build a list
Retained samples
Used by organizations that need structured data without separate systems

Build powerful registers without a database project
Create a list of retained lab samples, keys and access cards, signage by location, or other records that are too business-specific for a standard system. Each list can reference other lists and become a field type in the checklists and forms your team already uses.
Fields, relations, and permissions your team can set up itself
17 field types without code
Pick fields that fit the register: single-line text, multi-line text, dates, dropdowns, checklists, photos, file uploads, hyperlinks, barcode scanner, auto-generated barcode, and references to customers, suppliers, items, users, positions, competencies, and other lists.
Relational linking
Connect lists to each other with bidirectional relations. Link an equipment register to its maintenance schedule, and see the connection from both sides.
Per-list permissions
Four roles per list: Owner, Editor, Viewer, and User. Assigned per individual or team. Each list has its own permission settings.
Paste from Excel
Copy rows in Excel, paste into AmpliFlow. Move from spreadsheets to structured data without file exports or manual entry.
Place in navigation
Every list can be placed under any section in the navigation menu. Group lists under HR, IT, purchasing, maintenance, or any of the other sections.
Field type in other forms
Every list automatically becomes a field type. Use it in checklist templates, improvement forms, and deviation forms so users pick records directly.
Lists that stay useful where the work happens
The point is not just to store data. The point is that the register is simple to create, and then available when someone runs a check, reports a deviation, or drives an improvement in AmpliFlow.
- Pick the right record directly in checklists and forms instead of using free text and duplicate storage
- Link a deviation or improvement to the right sample, key, sign, or local record
- Keep history, ownership, and relations in one system as the list grows or changes
Example: retained samples
How one list gets used across AmpliFlow
- 1
Register
The sample record holds sample ID, batch, storage location, and disposal date.

- 3
Improvements and follow-up
Improvements, ownership, and history stay attached to the right record instead of being moved between spreadsheets, forms, and email.
The same setup works for chemical registers, equipment, GDPR records, and other structured registers that need to be used in daily work.
Common questions about Custom Lists
Answers to what we hear most often.
How do relations between lists work?
You add a "relation" field type that points to another custom list. Relations are bidirectional - if you link Equipment to Maintenance, the Maintenance list also shows which equipment it belongs to. You can relate any list to any other list.
Can I control who sees which lists?
Yes. Each list has four permission levels: Owner, Editor, Viewer, and User. You assign these per individual or per team. Each list has its own permission settings, so sensitive registers are only accessible to those who need them.
Can I move data from Excel?
Yes. Copy the rows in Excel and paste directly into the list. No file export needed.
Do users need database skills to create a list?
No. You choose fields, add relations, and control permissions directly in AmpliFlow. Everyday users can create structured registers without code or database experience.
How do lists work with checklists?
Every list you create becomes a field type available in checklist templates, improvement forms, and deviation forms. Someone filling in a checklist can pick records directly from the list. This connects your structured data to daily operations.
What are common use cases?
Retained samples, keys and access cards, signage by location, local exception registers, and any structured data that today sits in spreadsheets you share via email or a shared drive.
